In this guide, we'll walk you through the process of handling orders and understanding the statuses that play a crucial role in streamlining your workflow.

Understanding Order Statuses

After receiving an order, you'll encounter two primary statuses:

  1. Confirmation Status
  2. Shipping Status

The shipping status remains locked until the confirmation status is updated. CODSPOT uses six confirmation statuses and eight shipping statuses to help you track and manage your orders effectively. Below, we’ll break down what each status means and how it impacts your workflow.

Confirmation Statuses

The confirmation status represents the initial state of an order. Here's what each status signifies:

  • No Answer or Call Later: You can update these statuses at a later time when follow-up actions are required.
  • Canceled or Fake Order: These statuses lock the order, marking it as closed and uneditable.
  • Confirmed: When an order is confirmed, the confirmation status becomes locked, and the shipping status is automatically updated to Created, indicating that the order has been successfully added to your connected shipping company’s platform.
Shipping Statuses

Once an order is confirmed, the shipping status becomes editable, and you’ll encounter the following workflow:

  1. Created: Initial status after confirmation.
  2. Fulfilled: Can be updated to Canceled or Returned at any time.
  3. Shipped: Automatically updates when the delivery agent picks up and scans the package. From this point onward, the status updates automatically based on the package journey:
    • Package Issue: Indicates a delivery problem.
    • Delivered: Successfully delivered to the customer.
    • Canceled: If the delivery is canceled.
    • In Return: When a return is initiated.
    • Returned: Manually update this status once the package is received back.

Important: Stock levels are only updated when the status changes to Returned. Stock is not updated for canceled orders.

Managing Local Deliveries

If you're handling deliveries yourself (referred to as "Local Delivery"), you have full control over status updates. Even after the status changes to Shipped, you can manually update it following the same logic as connected deliveries.
